Our users often ask me if there is an easy way to distinguish existing spots from new bookings when they’re doing top-ups of existing buys. The good news is ‘yes, there is’ and in this post, I’ll walk you through how to do it in 3 easy steps.
The technique I’m going to use is to set a default comment for new spots
When you open an existing buy, or import spots from a pre-analysis session into a new buy, the Comment
field for each spot will usually be empty. This is the the default setting.
Step 1: Modify the default setting for the Comment field.
Go to the Buy Tasks pane, and click on the Discount and default settings
option. This will bring up the Discount and default settings dialog box.
Type in your desired comment. In this example I have entered ‘TopUp spots’.
Click OK to save the change.
Now you have changed the default comment, any new spots you create will show the new comment, making it easy to spot the difference between new and existing spots.
Step 2: Sort new spots from existing spots
If you want to Telebook or print off a booking form for only the new spots, you can sort them using the comment you added earlier. Simply click on the column header to sort and group by the contents of that particular column. This allows you to now select the spots you don’t want to re-send.
You may want to do a quick save of the buy before the next step just in case you need to come back to it.
Step 3: Send only the new spots
Once you have saved your buy, temporarily delete the spots you don’t want to send, do your telebook or print the booking form, then use Ctrl-Z to undo the delete and bring back the spots!
